Quick Tips for Installing Your Outlook Stationery

We’ve created these easy steps for you to follow so that you can start using your custom Outlook HTML stationery right away on your Personal Computer (PC). The following instructions pertain to a PC only. If you have a MAC, be sure you know (or know someone) how to install before placing your order. Stationery orders/payments are non-refundable.

Before you begin, be sure you have handy the files we sent you which consisted of an HTML file (note for Vista/Windows 7 it MUST be have an .html extension) and some image files (usually 1-3 images). If you were not sent any image files, it’s because we’ve uploaded them directly to your server and the stationery is hard-coded with these. If the file we sent you was compressed (i.e. ZIP), unzip it using WinZip or another unzipping program.

Save the file(s) attached to the email we sent you to the proper location. The HTML file should be stored in your Stationery folder, and the images may reside in the same folder or referenced directly from your site (again, if Webeze created the stationery for you, most likely the images are already stored ON your site’s server and will not be sent with the stationery (HTML) file). This is the preferred and recommended method (images stored on your server).

Vista/Windows 7 Permission Errors

Note, if you have Vista/Windows 7 OS and can NOT save your HTML file to the /stationery folder noted below, it could be a permission issue.


You may need to temporarily turn off/disable the Vista/Windows 7 Security (UAC) settings:


Once your stationery is successfully saved, be sure to go back and turn your UAC on unless you knowingly want this disabled permanently (not recommended).

Theme/Stationery Option Not Available?

New with Outlook 2007 is the requirement that both the Outlook and Word installation must have come from the same SKU (installation disk). If you load the two programs from two different installation disks, the Outlook Themes option will NOT be available to you. Be sure your system (any any system you intend to install the stationery on) supports Themes/Stationery before placing your order. There may be variations between using the Student/Home vs. Professional versions. Again, please verify compatibility BEFORE you place your order. Stationery orders/payments are non-refundable.

Stationery Installation Instructions for Outlook 2007/2010

The Stationery folder location varies depending on the version of Outlook installed on your computer but typically it will be as follows (note if you are running a 64 bit OS, you may need to save the files to that folder in order for the stationery to properly work):

C:\Program Files\Common Files\Microsoft Shared\Stationery or
C:\Program Filesx86\Common Files\Microsoft Shared\Stationery

  • Open Outlook.
  • Select the Tools drop-down menu.
  • Then select Options.
  • Then choose the Mail Format tab.
  • In the Stationery and Fonts section click the Stationery and Fonts button.


  • You will then be prompted to identify the stationery file you wish to use.
  • Click the Theme button and select the stationery file desired.


  • You should see your new stationery listed in the drop down list. Select it and click OK.
  • Click OK to return to the previous screen and then click on Email Signature tab. Your stationery (if created by Webeze) has your signature built in so be sure you select (none) under the Default Signature options for New Messages. For the Replies/Forwarding, choose an existing signature (or create a new one first and then come back to this).


  • Continue to click OK until you return to your Outlook in-box.
  • When you click New (to compose a new message), your stationery will load automatically.
  • If you prefer NOT to have your stationery load automatically, simply save it to your Stationery folder but do NOT add it per above instructions.
  • To use your stationery one-off (rather than as your default stationery), go to Action > New Mail Message Using and from here select your stationery file. If you don’t see it listed, use the “Browse” feature and thereafter, it should show up in this dialogue box.
  • Should you need to edit any of the TEXT (salutation, signature, etc.) within your new stationery, unlike the 2003 version, you can NOT do this within the Outlook 2007 interface. You can, however, open your .HTML file using a text editor such as Notepad and carefully make the changes desired. Save (overwrite) and the next time you access/load your stationery file, your changes will be reflected.


  • If you would like to create stationery for other users, you will need to open the stationery in a text editor and modify the signature area with the NEW employee’s name, title, etc. We make this easy for you by indicating where you should make your edits — be careful not edit any of the html code. You will then do a SaveAs and give the stationery a unique name (don’t overwrite YOUR stationery unless that’s your intention). This newly created stationery can then be sent by email to the new user (simply attach to an email) and they then follow the installation instructions noted herein. It’s always a good idea to keep a copy of your ORIGINAL stationery (the one sent to you by email) just in case…NOTE: When attempting to open your stationery file with a text editor (i.e. Notepad), you will need to change the file type from .txt to “All Files” in order to see the stationery (HTML) files.   • When you’re done with your edits hit SaveAs and be sure to add .html to the end of the file name (manually type it and don’t forget the “dot”) and save to your preferred location.
  • If you’ve already turned your UAC security back on, you’ll need to turn it off again (and reboot) in order to be able to save to your Stationery directory (and then turn it back on again…with an additional reboot).
  • Last, please note that when you start a new email, it may look a little different than expected, but rest assured, when you send it, it will look as intended. Go ahead and send yourself an email to see for yourself! Also, hyperlinks are by default blue in Outlook stationery and can not be changed. We have control over most things, but for some reason, Outlook doesn’t allow for customization of these link colors. It’s a small sacrifice when you have awesome, custom email stationery!

Stationery Installation Instructions for Outlook 2013

Follow the steps above as far as saving the stationery file sent to you in the correct location on your computer. Once saved, continue with the following Outlook 2013 stationery installation instructions:

  1. Open Outlook
  2. Click the File tab.
  3. Click Options.
  4. Click Mail.
  5. Click Stationery and Fonts (your font is built in so don’t edit/change this).
  6. On the Personal Stationery tab and click Theme.
  7. Under Choose a theme, click the theme or stationery that you want, and then click OK.
  8. Go back to the Personal Stationery tab and click Email Signatures. Refer to above instructions.
  9. Hit OK to return to Outlook.
  10. When you create a NEW email now, your stationery will be loaded by default.
  11. Put your cursor in front of the closing (ie. Sincerely) and begin your message.

If you don’t want to use this stationery as your default but for one-off uses, follow these steps:

  1. Click the Home tab.
  2. In the New group, click New Items, point to Email Message Using, and then click More Stationery.
  3. Under Choose a Theme, click the theme or stationery that you want, and then click OK.
  4. Compose and send your message.

Note: Not ALL email programs read HTML and/or a user may set their preferences to not accept HTML email. If that is the case, your message will either come across looking garbled (code) or it may also come with the graphics as attachments. We would estimate 90% of email users/programs can read HTML.
