Press Release Creation Tool

In order to provide you with a properly formatted press release, there is some basic information that is required. We've identified these fields with an asterisk (*); please ensure all of these fields are complete prior to publishing your document. If there is any missing data that is imperative to the press release, you'll be notified of this. Just hit your back button and correct or enter the missing data. Release Date *
  In most cases, you'll want your press release to be available to the media upon distribution. If not, identify the date or occasion when the news can be used. "Hold for December 24," for example.
Press Contact*
  Enter your name here. Make it easy for the media to contact you. Ensure the appropriate contact information is on every release you send.
Company*
  Enter your company name.
Phone*
  Enter the phone number where you are most likely to be reached.
Fax*
  Enter your fax number.
Email*
  Enter your primary email address (the one where the media can easily reach you).
Web Site*
  Enter the URL of your website. This also helps the media do a little research on your company before they contact you.
Headline*
  Your headline must grab the attention of the media and everyone else that reads it. Take the time to craft the perfect headline but keep it short. PR Web recommends no more than 80 characters. Use title case for this part of the PR. The headline is typically what is picked up by search engines, so keep your SEO-friendly headline in mind at all times.
Secondary
Headline*
  Write a secondary headline here, using regular case. This is often the first line or main point from the first paragraph. It is typically italicized in the press release. This should be SEO-friendly, too.
City*
  Enter the city from which the press release is originating.
State*
  Enter the state from which the press release is originating. Use standard 2 letter abbreviations only.
Month*
  Enter the month that the press release is being released, ie. December.
Date*
  Enter the date that the press release is being released, ie. 31.
Year*
  Enter the year that the press release is being released, ie. 2007.
Paragraph 1*
 

The lead sentence contains the most important information in 25 words or less. Grab your reader’s attention here by simply stating the news you have to announce. Do not assume that your reader has read your headline or summary paragraph; the lead should stand on its own.

Now it's time to tell the rest of the story. Keeps sentences and paragraphs short, about three or four lines per paragraph. The first couple of paragraphs should answer the who, what, when, where, why and how questions. If possible, your press release should include quotes from key staff, customers or subject matter experts.

Final*
  The final paragraph of a traditional news release contains the least newsworthy material, but for an online release, it’s typical to restate and summarize the key points.

  Who was the article about? A person? Your business? List that name here.
Boilerplate*
 

Include a short corporate backgrounder, or "boilerplate," about the company or the person who is newsworthy.
